Personal Assistant

PERSONAL ASSISTANT

This role requires a well-organised, good all-rounder.  The ideal applicant will have a high level of business acumen, a calm demeanour and will be able to multi-task quickly and effectively, with a grin on their face.  If you want a challenge, love variety and can handle responsibility, then a career at Bermar could be just the thing for you.

General Duties
  • Diary management
  • Company post & email distribution
  • Act as gatekeeper to Directors
  • Manage emails and outlook for Managing Director
  • Prepare correspondence for Managing Director
  • Prepare documentation for meetings
  • Take minutes
  • Arrange hotels and travel as required
  • Support the Managing Director as required to maximum effectiveness for the company
  • Act as the Managing Director’s representative in his absence
  • Complete ad hoc tasks relating to Managing Director’s personal interests
HR Duties
  • Manage cleaning staff and take overall responsibility for the front office and reception, including x1 full time staff and x1 part-time
  • Prepare employee contracts
  • Monitor staff holiday and sickness
  • Keep informed on any HR issues which will affect the company
Accounts
  • Preparation of Managing Director’s expenses
  • Prepare weekly, monthly, quarterly reports
Office Management
  • First point of contact for all IT issues, follow up with IT contract staff if required
  • Ensure security of all company equipment
  • Make credit card payments
  • Reconcile petty cash
  • Take responsibility for general office invoices
  • Manage phone contracts & ensure all phones working effectively
  • Ensure all supplier contracts are at the most profitable for the company
  • Monitor car, commerical and marine insurances – placing claims where appropriate & updating as required

 + other ad hoc projects which will require good all round business knowledge and the ability to see what needs to be done, before it’s been done!

Attributes & Skills Required:

Essential

At least 2 years PA experience at board level
Confident communicator (written and spoken)
First class customer service skills
Strong IT capability – Microsoft Office to an advanced level
Well organised with excellent prioritisation skills
Adaptability
Calm under pressure

Desirable

Specialism in HR, Accounts or IT (or all of these areas!!) would definitely be an advantage
Degree educated
Experience of the hospitality sector
Experience of managing staff

MARKETING EXECUTIVE

This is a well defined role, that requires creative flair, an upbeat persona and the confidence to take our Marketing to the next level.

General Marketing Duties

  • Ensure all company collatorall is branded uniformly
  • Prepare documents for sales team
  • Prepare press packs and marketing emails
  • Maintain company contact database
  • Maintain company photo & testimonial database
  • Scan trade press for sales leads/ articles to circulate to sales teams  & use in marketing e-news updates
  • Write copy for all marketing materials, articles & advertisements  

Social Media

  • Update & manage all social networking sites
  • Manage testimonials blog & company website, updating with new information and updates

Email Updates

  • Prepare regular news update email for various stakeholders based in the UK and Internationally
  • Monitor response rate to e-shots
Trade Shows
  • Oversee:
                  - Stand design, including stand build and signage
                  - Advertising in trade publications in the run up to shows
                  - Organise VIP events at trade shows
                  - Design & print literature to use at shows
  • Investigation of alternative opportunities e.g. sponsorship/speaking/loaning equipment etc.
Marketing Strategy
  • Design marketing campaigns

Production Manager

Reports to:  Technical Services Director

Based at:  Bermar (International) Ltd, Martlesham Heath, Ipswich    

 

JOB PURPOSE:

The role has two different but interlinked functions.  The first is administrative and will involve maintaining an effective computerized stock control and purchasing system that is capable of generating weekly and monthly orders and reports. You will also maximize pricing discounts from suppliers and minimize component stock holdings without detrimentally affecting production targets. The second function requires you to adopt a ‘Hands on’ supervisory role in our factory, where our motivated, target orientated production team assemble/manufacture our award winning wine preservation equipment in accordance with approved build files and standards.

 

KEY RESPONSIBILITIES:

·        Maintain a computerized refrigeration and wine preservation component stock control system detailing suppliers, itemized lists of components with re-order information and line numbers, lead times and prices.

·        Liaise with suppliers to ensure that component goods are delivered on time.

·        Produce stock requirement forecasts based on real time sales reports.

·        Produce a weekly analysis of ‘Finished Goods’ and ‘Goods Dispatched’.

·        Manage ‘Component Goods Inward’ process

·        Check and approve pricing on purchased components against delivery notes and invoices.

·        Conduct regular supplier reviews for key component suppliers.

·        Manage goods in quality control process, managing returns and producing a monthly analysis report.

·        Supervise the production team to ensure they meet and exceed the required standards laid out in accordance with approved manufacturing files and external approvals standards

·        Supervise the production team to ensure they meet their finished goods production targets.

·        Supervise quality control and packaging of finished goods

·        Assist with the design, build, set up and breakdown of UK trade shows (2 or 3 per year)

·        Ensure the work environment is maintained in a safe and tidy condition at all times.

·        Attend internal meetings as required

·        Develop relevant knowledge and skills to enhance your role

·        Key role in the recruitment and training of production personnel.

 

ACTIVITY TARGET 

The production team works to weekly/monthly targets of finished wine preservation systems and refrigerated cabinets.

 

PRODUCTION MANAGER PROFILE

 

PERSONALITY:

Self motivated individual with proven man-management skills, you will have the ability to manage your time, meet and exceed company goals and move smoothly and easily from an administrative to a practical ‘hands on’ production role. You will have a good eye for detail and the ability to get on with a broad range of people at all levels.  The ability to work on your own as well as part of a team is essential.

 

SPECIFIC JOB SKILLS:

You will be computer literate, with a proven ability to develop and maintain stock control and purchasing systems, able to liaise with new and existing suppliers regarding deliveries and pricing. You will also need to have had ‘Hands On’ supervisory production experience in a mechanical, electrical or light engineering environment and be able to produce wiring looms, assemble components for new systems and service, repair and test systems.

 

COMPUTER SKILLS:

Must be adept in use of MS Office 2000 or later or XP Professional, particularly Excel and Word, and Internet and email.

 

LITERACY AND NUMERACY:

An A Level or above level of numeracy and literacy will be required.

 

MANAGEMENT ABILITY:

Good people-management skills, experience and natural ability are essential as you will be responsible for the day to day supervision of a production team of 10; ensuring that standards, targets and personal goals are achieved and that Health & Safety standards are maintained at all times.
